Privacy statement

TYFCB email is run by Charlotte Price Consulting Limited ("we"). This statement explains what we collect, why, and your rights under the Privacy Act 2020.

What we collect

• Your name, email address and, if you give it, your BNI chapter.
• Your Stripe customer and subscription references. Stripe holds your card details; we never see them.
• A Xero connection for each organisation you connect. It gives read only access to invoices and contacts and is stored encrypted.

What we read from Xero, and when

The service runs automatically in the cloud. No person at Charlotte Price Consulting Limited looks at your invoice figures as part of running it: they go from Xero straight to your email and are not stored. Charlotte receives only a note of whether each monthly email was sent.

When your monthly email is prepared, or when you ask for a test email, we read the names and members of contact groups starting with BNI, and the paid sales invoices for those clients: client name, invoice number, amount excluding GST and date paid. We use this only to build your email. We do not keep a copy of your invoices after the email is sent.

Who else handles it

• Stripe, for subscription payments.
• Brevo, which sends the email to you.
• DigitalOcean, which hosts the service on a server in Sydney, Australia.
• Notion, where we keep a log of each monthly run (your email address, the month and the number of lines, never invoice details).

Some of these providers store information outside New Zealand. We use them because they offer protections comparable to the Privacy Act 2020.

Keeping it safe and deleting it

Disconnecting Xero, from the link in any email, deletes your Xero connection from our system straight away. Cancelling your subscription does the same. Ask us at any time and we will delete your account.

Your rights

You can ask to see or correct the information we hold about you. Email hello@charlotteprice.co.nz. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
